Job description

  • Assist clients during office visits while coordinating meeting logistics.

  • Support in bill processing and basic admin data entry/MIS.

  • Supervise housekeeping and site hygiene as per the SOP and ensure cleanliness across all areas.

  • Train housekeeping staff, maintain cleaning stocks, and coordinate repairs and facility-related vendor support.

  • Coordinate and supervise security services, including manpower deployment, movement control (man/material/visitor/vehicle), and related records.

  • Support the protection of company property against theft/misuse through effective supervision of security personnel.

  • Manage & track transport arrangements, including intercity transfers for guests/visitors/auditors/team and daily staff bus operations.

  • Assist in overseeing canteen operations end-to-end with service providers, including food quality, hygiene, and compliance.

  • Assist in events such as celebrations, team outings, and internal functions.

  • Support in hiring and coordination of apprentices and 3rd party payroll staff.

  • Assist in attendance and payroll processing for contract/3rd party staff.

  • Prepare and maintain admin-related documents and registers (employment contracts, employee details, factory registers, visitor/material movement, etc.) as per Factory & Labour Act.

  • Maintain records of administrative expenses, office contracts, insurance, and payments; track due dates and renewals.

  • Prepare periodic MIS reports for admin, transport, housekeeping, security, and expenses.

Job requirements

  • Having 2-4 years of experience in handling office administration.

  • Have a passion for administration as well as being open to continuous learning & education.

  • Basic English oral and written communication skills.

  • Basic working knowledge of MS Office and data analytical skills.

  • Deadline-oriented and ability to stick to time constraints.

  • Hardworking and ready to work in shifts and for extended working hours when needed.

  • Be highly organized with the ability to work independently in a fast-paced team environment.

  • High attention to detail and a compliance mindset.

  • Organized, proactive, and capable of handling multiple requests.

  • Quick problem-solving skills for sourcing challenges.

  • Positive and collaborative attitude aligned with fast-paced CRO culture.
